EVENT MANAGER – LOCATION: HCMC – QUANTITY: 1

OBJECTIVE

To effectively plan, organize and manage all event and any future projects/activities from end to end.

Events include: Tournaments and leagues festivals; conferences; promotions and service launches; social events

KEY RESPONSIBILITIES

1/ Create Events strategy

Develop up new proposals for events that meet the company objectives.

Create and manage Event calendars for XLE.

Taking the lead in considering and planning the events including Saigon Heat, VUG and VBA – to understand the company structure and school year of the academy to plan the events in time.

2/Get information for Event planning

Coordinate with Business development and other departments to get the ideas for planning.

Researching markets/ Partners to identify opportunities for events;

Make sure the event ideas/plans are suitable with the overall marketing strategy and companyai??i??s vision/missions/goals.

Liaising with other departments to ascertain their precise event requirements;

3/ Event planning Develop a plan for all Activation and Event relating to the company activities for SGH, VUG and VBA.

Develop and implement Event strategies in support of organizing and Project aims in partnership with the relevant managers and external parties. producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);

Event concept creation, e.g. themes, message, purpose Agreeing to and managing a budget;

Monitoring against plan, including ticket sales.

Planning court/venue layouts and the entertainment programme, Event Flow and demonstrations;

Identifying and securing speakers or special guests;

4/Promoting Events Develop promotional strategies to ensure that events are promoted in advance and well attended. Work with the marketing team and a range of partners to increase the profile of events such as YanTv, ESPN and sponsors.

Work with the marketing team to ensure there are adequate products for events and to increase brand awareness.

5/Operating Event Securing and booking a suitable venue or location.

Coordinating venue management, caterers, stand designers, contractors and equipment hire.

Organization of all materials needed to be shipped to an event in good time.

Organizing facilities for car parking, traffic control, security, first aid, hospitality and the media, sound systems.

Coordinating staffing requirements and staff briefings.

Support selling sponsorship/stand/exhibition space to potential exhibitors/partners.

Liaising with marketing and PR colleagues to promote the event.

Liaising with other departments and designers to create a brand for the event and organizing the production of tickets, posters, catalogues and sales brochures. Manage all ads materials and sports equipment are produced on time.

On the day of an event, to lead the team on the ground for event setup.
